PERSONAL ASISSTANT / OFFICE MANAGER

Location: London (near Waterloo)

Salary: Up to £35,000 per annum

Hours: Full time, 37 ½ hours

Due to maternity leave, our client is looking for an experienced PA/Office Manager to join their team.  As the PA/Office Manager, you role is to ensure that the office runs smoothly and efficiently, as well as supporting the Executive team as and when required. The role would also involve some broker support.

Main Responsibilities:

  • Calendar management and other PA tasks (i.e. expenses, travel booking etc.) for the Exec team
  • Providing an ad hoc administrative and project support to the senior members of management team
  • Ensuring health and safety, and fire regulations compliance in London office
  • Overall office management (stationery and refreshment ordering, tidying up meeting rooms between the meetings, management of petty cash etc.)
  • Incoming and outgoing post management
  • New starter orientation and providing the support as and when needed
  • Data input, filing and uploading of various documents
  • Management of contracts
  • Minute taking when necessary
  • Creating sales packs including due diligence checks such as company searches
  • Coordinating compliance reviews when ongoing due diligence is required
  • Sending out bulk bulletins when required to the Partner database
  • Administration duties related to funder audits in collaboration with the Compliance Executive

In order to be successful in this role, you need to possess the following:

  • Extensive Administrator/Office Manager experience
  • Being proactive
  • Ability to work as an individual as well as part of a team
  • Ability to prioritise tasks effectively and work well under pressure
  • IT literate (Microsoft Word, Excel and Outlook)
  • Excellent communication (written and verbal) and interpersonal skills
  • Excellent attention to detail
  • Financial Services/Broker relationship experience highly desirable
