Location:                                         Southampton / Hybrid

Hours:                                               Monday – Friday 9am – 5pm

Salary:                                              Up to £48,000 per annum (D.O.E)

Contract:                                         6 Month Fixed Term Contract

About The Opportunity

We are currently recruiting on behalf of a prestigious, global client within the insurance and financial services sector. They are seeking a high-calibre Personal Assistant to join their Executive Support team for a 6-month fixed-term contract.

This is not a traditional 1:1 support role. Our client operates a sophisticated, agile support model where PAs manage “tickets” and requests coming directly from various senior leadership and UK Executive Team (UKET) members. This is a fast-paced, high-visibility position perfect for a PA who enjoys variety and working within a collaborative, modern environment.

The Role

Acting as a key point of contact for the leadership team, you will be responsible for ensuring the smooth execution of departmental objectives. You will manage a diverse range of tasks, from complex diary management to high-level document production, all while maintaining absolute confidentiality.

Key Responsibilities:

  • Agile PA Support: Respond to and manage “tickets” and requests from multiple senior members, ensuring high-priority tasks are addressed efficiently.
  • Strategic Diary Management: Proactively manage complex calendars, deciding which meetings take strategic precedence and liaising with other Executive PAs.
  • High-Level Documentation: Build and produce meeting agendas, briefing papers, and professional PowerPoint presentations for strategy meetings.
  • Communication Management: Screen and manage verbal and written communications for executive members, acting as a professional gatekeeper.
  • Logistics & Events: Arrange travel, accommodation, and venue bookings; provide on-site support for corporate roadshows and engagement events.
  • Operational Administration: Support budget management, process expense claims, and manage the administrative setup for new starters and leavers.

Our client requires a proactive professional who can remain calm under pressure and use their initiative to solve problems before they escalate.

Technical & Professional Requirements:

  • Proven Experience: Significant experience working at Senior Management or Executive level, ideally within a rapidly changing corporate environment.
  • Technical Proficiency: Extensive skills in MS Word, PowerPoint, Excel, and Outlook. Experience using Copilot to drive efficiencies is highly desirable.
  • Communication Excellence: Exceptional verbal and written skills with the ability to adapt your tone for different audiences.
  • Organisational Mastery: The ability to handle multiple conflicting priorities and manage the expectations of senior stakeholders.
  • Discretion: A proven track record of handling business-sensitive and confidential information with total reliability.
