Legal Receptionist / Administrator

Location:                          Poole, Dorset

Hours:                                Monday to Friday 9am – 5pm

Salary:                               Up to £25,000 per annum (D.O.E)

Contract:                         Full Time, Permanent

Overview

We are delighted to be working on behalf of a progressive, fast paced legal practice to recruit a proactive and detail oriented Legal Receptionist / Administrator professional for their office in Poole.

This is a fantastic hybrid role that bridges the gap between front-of-house excellence and vital legal administration. You will be responsible for supporting a busy team with a varied caseload, acting as the first point of contact for clients, and ensuring the smooth day-to-day operation of the office.

Legal Receptionist / Administrator Key Responsibilities:

Front of House & Reception:

  • Acting as the first point of contact for all incoming enquiries, greeting clients warmly, and providing refreshments.
  • Screening incoming phone calls, handling enquiries efficiently, and taking detailed, accurate messages.
  • Ensuring all client-facing and communal areas are kept immaculately clean and tidy at all times.
  • Monitoring and ordering office stationery.

Legal Administration & Support:

  • Providing vital support to fee earners, including occasionally generating letters and typing attendance notes using the digital recording and case management systems.
  • Handling legal documentation, including photocopying, scanning, and digital filing.
  • Assisting with incoming and outgoing mail processing.
  • Conducting general administrative duties such as data entry, word processing, establishing new case files, and drafting simple correspondence.
  • Assisting with office projects and providing holiday cover within the wider team when required.

Key Skills Required

Exceptional Communication

  • Excellent standard of written and spoken English is essential, with the ability to communicate articulately with clients and colleagues alike.

Client Care Excellence

  • Strong orientation for quality customer service delivery, displaying tact, patience, and understanding—even when dealing with difficult visitors or working under pressure.

Technical Proficiency

  • Good IT skills, especially in Excel, Word, and Outlook, with the ability to quickly learn new software, including legal case management and digital dictation systems.

Attention to Detail

  • A high level of accuracy and a methodical approach to data entry, file management, and document processing in a fast-paced environment.

Team Work & Flexibility

  • A dependable and collaborative approach, with the ability to work independently, prioritising tasks effectively to ensure the smooth running of the office.
